We will communicate deadlines clearly. We ask that you respond promptly whenever a decision is time-sensitive.

ACCURATE INFORMATION

Details matter—especially traveler details.

Traveler names, dates of birth, passport details, contact information, loyalty numbers, and other required information must be complete and accurate.

Members are responsible for reviewing all names, dates, destinations, room types, flight details, and other travel documents before approval or payment.

Errors discovered after ticketing or supplier deadlines may create change fees, cancellation penalties, or other costs imposed by the travel supplier.

TRAVEL DOCUMENTATION

Every traveler is responsible for being prepared to travel.

We provide general guidance regarding passports, visas, identification, entry requirements, and other travel considerations whenever possible.

Each traveler remains responsible for confirming and maintaining the documents required for their nationality, destination, itinerary, and personal circumstances.

  • Required visas or travel authorizations
  • Health or vaccination documentation when applicable
  • Minor travel consent documents
  • Correct traveler names matching identification
  • Destination entry and transit requirements
  • Accessibility or medical documentation when needed

PAYMENTS AND APPROVALS

No reservation is complete until the required payment is received.

Deposits, final payments, retainers, and supplier deadlines will be communicated clearly throughout the planning process.

Members are responsible for approving selections, completing authorization requirements, and submitting payment by the stated deadline.

Availability and pricing cannot be guaranteed until the supplier confirms the reservation and required payment has been processed.

CHANGES AND UNEXPECTED CIRCUMSTANCES

Let us know as soon as something changes.

Travel plans can evolve. Travelers may be added or removed, dates may change, budgets may shift, and personal circumstances may affect the original plan.

Early communication gives us the greatest opportunity to identify available options and explain any supplier penalties, fare differences, or planning changes.

We will provide guidance and advocacy, but supplier rules, availability, and penalties remain subject to the terms of the travel provider.

Disrespectful, abusive, threatening, dishonest, or inappropriate conduct may result in the relationship being reconsidered or ended in accordance with membership policy.

AVAILABILITY AND SUPPORT

You should always know how and when to reach us.

We communicate established business hours, response expectations, travel-support procedures, and appropriate contact methods so members understand how assistance is provided.

Urgent travel needs are prioritized appropriately. Non-urgent requests are addressed within the established service response window.

Availability means dependable access and clear support—not that every request can be resolved instantly or that supplier outcomes can be guaranteed.
