What is the Private Travel Office?
The Private Travel Office is a relationship-based travel service that gives members one dedicated travel professional to coordinate their journeys over time. Your travel preferences, priorities, history, and planning needs are maintained so that each new journey does not begin from the beginning.
How is this different from using a traditional travel agency?
A traditional travel interaction may focus primarily on completing one reservation. The Private Travel Office looks beyond an individual booking to the member’s complete travel experience, including planning continuity, supplier coordination, preferences, documentation, communication, and ongoing support.
Who may become a Private Travel Office member?
Membership may be established for one individual, one couple, one family, or one business. Each is considered one membership relationship.
Acceptance is based on service capacity, mutual alignment, and our ability to successfully support the prospective member’s travel needs.
Is enrollment available throughout the year?
Yes. The Private Travel Office maintains open enrollment. Prospective members may begin the consultation process throughout the year, subject to availability and service capacity.
Does requesting a consultation guarantee membership?
No. The consultation allows both the prospective member and Vsulpo8 Elite Travel to determine whether the relationship is a suitable fit.
A prospective membership may be declined when we are not confident that we can successfully support the requested needs, expectations, communication style, or level of service.
Do I need to travel a certain number of times each year?
No. Membership is not based solely on how frequently you travel. The greater consideration is whether you value continuity, professional guidance, and an ongoing relationship with one dedicated travel professional.
What happens after a long period of inactivity?
A membership with three years of inactivity is considered inactive. A returning traveler may reestablish the relationship through the current consultation and retainer process.

How does the planning process begin?
Planning begins with a consultation or planning conversation. We discuss who is traveling, the purpose of the journey, dates, destination preferences, priorities, comfort expectations, budget considerations, special needs, and the level of support required.
Do you only plan luxury travel?
No. The Private Travel Office provides a high standard of care, but the journey itself is designed around the member’s needs, preferences, priorities, and appropriate investment.
Luxury may describe the destination or accommodations, but it may also mean convenience, time saved, personalized service, trusted guidance, or peace of mind.
Can I bring you an itinerary or travel idea I have already found?
Yes. Existing ideas, inspiration, saved properties, cruises, routes, activities, or supplier offers can help us understand what appeals to you.
All options remain subject to independent review, availability, supplier terms, and whether they appropriately support the overall journey.
Will I be involved in the decisions?
Yes. We provide professional research, coordination, and recommendations, but you remain involved in all material decisions. No reservation or payment is completed without the required client approval or authorization.
How long does travel planning take?
Planning time varies based on the destination, complexity, number of travelers, supplier response times, travel dates, availability, and how quickly decisions are made.
Expected planning timelines will be discussed at the beginning of the engagement. Urgent requests may be subject to availability and additional requirements.
Can different travelers pay separately?
Separate payments may be supported when the applicable supplier or reservation system allows them. Payment arrangements, deadlines, and authorization requirements will be explained for the specific journey.
PAYMENTS

Payment requirements vary by membership, service, reservation, and supplier.
Is there a membership or planning retainer?
Applicable retainers and service terms are explained before the engagement begins. A retainer secures professional time, planning capacity, research, coordination, and the management of the travel relationship.
Retainers are separate from the cost of airfare, accommodations, transportation, experiences, insurance, and other travel components unless expressly stated otherwise.
Are retainers refundable?
Retainers are generally non-refundable because they reserve professional time and service capacity and compensate for work performed. The specific terms associated with an engagement will be provided in writing before payment.
Who charges my card for travel reservations?
Depending on the reservation, charges may be processed by the hotel, cruise line, airline, tour operator, travel supplier, insurance provider, or another authorized travel partner.
Your invoice or authorization will identify the expected payment details whenever available.
Are prices guaranteed when they are quoted?
No travel price is guaranteed until the applicable reservation has been confirmed and the required payment has been successfully processed.
Prices, availability, taxes, fees, promotions, and supplier terms may change without notice before confirmation.
Will I receive payment deadlines?
Yes. Deposit dates, scheduled payments, final-payment deadlines, and other important financial requirements will be communicated as part of the journey-management process.
The traveler remains responsible for making payments by the applicable deadline.
Is travel insurance included?
Travel insurance is not automatically included unless it is specifically identified as part of the reservation. Available coverage options may be presented separately for review.
Coverage, exclusions, eligibility, deadlines, and claim decisions are determined by the insurance provider.
TRAVEL SUPPORT
Support before, during, and after your journey.
Travel support begins long before departure and continues through the return home.
What support is provided before departure?
Pre-departure support may include reservation management, payment reminders, document reviews, itinerary coordination, supplier confirmations, travel preparation guidance, destination information, and a final travel review.
What happens if I need help while traveling?
Members receive instructions for requesting assistance while traveling. The appropriate response will depend on the urgency, circumstances, supplier availability, time zone, destination, and type of reservation involved.
Emergencies involving immediate safety, security, health, or law enforcement should always be directed first to the appropriate local emergency authority.
Do you provide 24-hour unlimited availability?
No. The Private Travel Office provides professional support and clear communication procedures, but it does not represent unrestricted twenty-four-hour personal availability.
Emergency supplier contacts, insurance assistance information, and appropriate escalation instructions may be included with your travel documents.
Can you travel with a client as an on-site concierge?
On-site travel concierge service may be available through a separate consultation and written engagement.
All on-site engagements require a non-refundable travel retainer. The client is responsible for all approved travel-related expenses, including transportation, accommodations, meals, baggage, ground transportation, parking, tolls, gratuities, access costs, and applicable destination expenses.
Concierge accommodations must be comparable in quality, location, and amenities to those provided for the client.
Is support available after I return home?
Yes. Post-travel communication may include follow-up, documentation of important preferences, discussion of unresolved supplier matters, and preparation for future journeys.
CHANGES & CANCELLATIONS

We help members understand their options, but supplier rules govern what can be changed, refunded, or recovered.
Can I change a reservation after it has been confirmed?
Changes may be possible, but they are subject to availability, supplier rules, fare differences, penalties, new pricing, service requirements, and applicable deadlines.
No requested change is considered complete until written confirmation has been received.
What happens if I cancel my trip?
Cancellation terms are established by each supplier and may vary across different components of the same journey. Some payments may be refundable, partially refundable, available as future travel credit, or completely non-refundable.
Any applicable professional retainers or service charges remain subject to their separate written terms.
Can Vsulpo8 Elite Travel guarantee a refund?
No. Refund eligibility, amount, method, and processing time are controlled by the applicable supplier, insurance provider, or payment processor.
We can assist with communication and available procedures, but we cannot guarantee the outcome or timing of a supplier decision.
What happens when a supplier changes or cancels part of my trip?
We will review the information provided by the supplier and help explain the available options. Alternatives may depend on availability, supplier policy, travel insurance, destination circumstances, and the remaining components of the journey.
Why is travel insurance strongly recommended?
Travel insurance may provide protection for certain covered cancellations, interruptions, medical events, delays, baggage issues, and other eligible circumstances.
Policies differ significantly. Travelers should review the policy terms, covered reasons, exclusions, limits, and purchase deadlines before making a decision.

What personal information may be required?

Why do you maintain a member travel profile?
A permanent travel profile helps provide continuity across journeys. It may include travel preferences, communication preferences, seating requests, loyalty information, important notes, and other details that support personalized service.
Is my information shared with travel suppliers?
Information may be shared with authorized suppliers, travel partners, insurers, payment processors, or service providers when reasonably required to research, reserve, manage, protect, or support your travel.
Only information relevant to the applicable service should be provided.
Should sensitive information be sent through ordinary email?
Sensitive information should be submitted only through the approved method provided for the applicable transaction. Do not send complete payment-card information or other highly sensitive documentation through ordinary email unless specifically instructed through an authorized secure process.
Is my travel information treated confidentially?
Yes. Member information and travel details are handled with professional discretion and used only for legitimate business, travel-management, legal, accounting, or service purposes.
